Privacy policy

At Yda we keep things clear, including how we handle your data. Here is what we collect, why we do it, and how we protect it.

1. Who is responsible for your data?

  1. Your Digital Agency (Yda) is responsible for processing personal data as described in this policy.

2. What personal data do we process and why?

  1. We only collect data we need to deliver our services, honour agreements, or stay in touch with you.

  2. Contact and forms. When you fill in a form, email us, or get in touch, we process:

    • Your name
    • Your email address
    • Your phone number (optional)
    • Company name (optional)
    • The content of your message or project request
  3. Why? To answer your question, prepare a quote, or talk through a project.

  4. Clients and collaborations. When we build, film or manage a project for you, we process:

    • Address and invoice details
    • Chamber of Commerce (KVK) and VAT numbers
    • Payment details
    • Account details (when needed for hosting, CMS or integrations)
  5. Why? To perform the agreement, invoice you, and meet our legal (tax) retention duties.

  6. Website use (analytics). If you accept analytics, we load Umami (self-hosted at umami.yourdigitalagency.nl) and Microsoft Clarity. Umami does not set tracking cookies. We then see anonymised stats such as page views, referrer, browser, operating system, device type and country. Clarity helps us create heatmaps and session recordings so we can see where visitors click and scroll. Clarity may set cookies. That data cannot be traced back to you as a person.

  7. Cookie preference. We store your analytics choice in localStorage under the key yda-cookie-consent (value: accepted or declined), so we do not have to ask every time.

3. How long do we keep your data?

  1. We do not keep personal data longer than needed.

    • Contact requests: until your question or project conversation is finished.
    • Client and invoice data: 7 years (legal retention duty for the Dutch Tax Authority).
    • Analytics: anonymised visit stats in our Umami environment and heatmap/session data in Microsoft Clarity, without a personal profile.
    • Cookie preference (yda-cookie-consent): until you clear it or wipe your browser data.

4. Sharing with third parties

  1. We never sell your data to third parties. We only share data with trusted parties when needed for our work.

    • Network and collaboration partners: for example specialised partners on a project. Always in consultation with you.
    • Hosting and IT providers: for storage and secure operation of our website and backend.
    • Microsoft Clarity: heatmaps and session recordings if you accept analytics. See also our cookie notice.
    • Embedded content: on some project pages we load Vimeo videos. Vimeo may then set its own cookies or similar tech. See also our cookie notice.
    • Legal obligations: when the government or the law requires us to.

5. Security

  1. We take appropriate measures against misuse, loss, unauthorised access and unwanted disclosure. Our website uses a secure SSL connection (HTTPS).

6. Your rights

  1. You stay in control of your personal data. You have the right to:

    • Request access to the data we hold about you
    • Have data corrected or updated
    • Have data deleted (unless we have a legal retention duty)
    • Object to processing of your data
